Event Terms for Sheffield Bachata Collective

1. Introduction

These terms and conditions ("Terms") govern your participation in events organised by Sheffield Bachata Collective ("we", "us", "our"). By purchasing a ticket or attending any of our events, you agree to be bound by these Terms.

2. General Event Terms

2.1 Event Participation: All participants must conduct themselves in a respectful manner in accordance with our core values of respect, inclusivity, and growth.

2.2 Age Requirements: Participants must be 18 years or older unless otherwise specified for the event.

2.3 Health and Safety: Participants attend events at their own risk. We recommend that all attendees are in good physical health suitable for social dancing activities.

2.4 Behaviour: We reserve the right to refuse entry or remove any participant who behaves inappropriately, including but not limited to harassment, discrimination, or disruptive behaviour.

2.5 Event Changes: We reserve the right to make changes to the event programme, venue, or timing. In the event of significant changes, we will notify ticket holders as soon as reasonably possible.

3. Ticket Purchases and Refunds

3.1 Ticket Validity: Tickets are valid only for the specific event, date, and time stated. Tickets are non-transferable unless authorised by us in writing.

3.2 Payment: All ticket prices are in British Pounds (GBP) and include applicable taxes unless otherwise stated.

3.3 Refund Policy: Refunds are available under the following conditions:

  • More than 48 hours before the event: Full refund available minus any processing fees
  • Less than 48 hours before the event: No refunds will be provided
  • Event cancellation by us: Full refund will be provided
  • Event postponement: Tickets will be valid for the rescheduled date, or full refund available upon request

3.4 Refund Process: Refund requests must be made in writing to our official contact email. Refunds will be processed within 5-10 business days.

4. Photography and Video Recording

4.1 Recording Policy: Photography and video recording take place during our events for marketing and promotional purposes.

4.2 Consent: By attending our events, you consent to being photographed or recorded and to the use of such images or recordings for:

  • Digital marketing materials
  • Social media promotion
  • Website content
  • Promotional materials and advertisements

4.3 Opt-out: If you do not wish to be included in photographs or recordings, you must inform us in writing prior to the event. We will make reasonable efforts to exclude you from our photography and recording, though we cannot guarantee complete exclusion in group settings.

4.4 Rights: You grant us a perpetual, royalty-free licence to use any images or recordings in which you appear for the purposes stated above.

5. Liability and Insurance

5.1 Personal Responsibility: Participants attend events at their own risk and are responsible for their personal belongings.

5.2 Limitation of Liability: Sheffield Bachata Collective's liability is limited to the price paid for the ticket. We are not liable for any indirect, incidental, or consequential damages.

5.3 Insurance: We recommend that participants have appropriate personal insurance coverage.

6. Data Protection

6.1 Personal Information: We collect and process personal information in accordance with UK data protection laws.

6.2 Marketing Communications: We may use your contact information to send you updates about future events unless you opt out.
